Job Description:
Moreau Tippenhauer, seeks an experienced administrative assistant, with at least 3 years of proficient administrative experience. We are a dynamic and growth-orientated company! There is a tremendous opportunity for someone who is looking to grow with a company from the ground up!
This Administrative Assistant will provide support to multiple investment professionals within the Company.
Administrative Assistant Essential Duties:

Answering and coordinating phone calls
-
Respond to general inquiries via phone and email from prospective clients, tenants as well as brokers and agents

Keep track of all transaction documents in the client database and complete the necessary paperwork
-
Coordinate travel arrangements including air/rail, car reservations & hotel, etc.

Calendar management, including scheduling appointments, confirming meetings and coordinating with other assistants and external parties

Booking conference rooms for internal and external meetings; coordinating registration and greeting guests

Maintaining contacts in Outlook

Maintaining and organizing files
-
Making copies, creating files and filing, saving digital assets to cloud storage

Advanced proficiency in Microsoft Office Suite

Updating spreadsheets (strong Excel or Google Sheets knowledge is a MUST, Database is a PLUS)

Creating invoices and sending to clients

Overseeing the paperwork of agents
-
Keeping up with the office supply inventory

Administrative tasks as they arise

Provide exceptional customer service to clients to ensure their satisfaction and trust
Qualifications:
-
3+ years of experience supporting multiple professionals within a financial services organization or fast paced environment that has included client facing responsibilities

Minimum 3 years secretarial and administrative experience

Must possess excellent listening, oral and written communication skills

Must have excellent phone manner and thrive in a time sensitive environment

Excellent organizational skills with focus on accuracy and attention to detail

Willingness to learn about the various different work-streams to better understand how to prioritize meetings and workflow

Perform duties with the highest level of confidentiality and integrity

Strong time management skills; ability to prioritize multiple tasks efficiently

Bilingual and able to read, write and speak Spanish and English proficiently.

Schedule:

Monday to Friday (8-hour shift)
Requirements:

License for real estate is preferred but not required

A minimum of 3+ years of real estate experience

Associate Degree strongly preferred

Excellent Verbal and Written communication skills

Solid knowledge of Microsoft Office

Ability to multi-task and prioritize tasks
